e-BRC reconciliation software for Indian exporters

What e-BRC reconciliation software does, why it matters under the self-certification system, and how to choose one.

What is e-BRC reconciliation software?

e-BRC reconciliation software helps Indian exporters track export proceeds, match the bank's reported inward remittances to the right shipping-bill or SOFTEX invoices, bulk-download and generate e-BRCs from DGFT, and flag the exports that are unrealised or missing an EGM — so that GST, IGST, duty-drawback and RoDTEP refunds are not quietly held up by a paperwork gap.

An e-BRC (Electronic Bank Realisation Certificate) is the DGFT certificate proving that payment for an export has been realised in India. Since November 2023 it is self-certified: your Authorised Dealer bank reports each inward remittance to DGFT as an Inward Remittance Message (IRM), and you generate the e-BRC by mapping those IRMs to your export documents. Reconciliation software is what makes that mapping manageable at volume.

What the software does

A capable e-BRC reconciliation tool for Indian exporters covers the whole realisation trail:

  • Bulk e-BRC download — pull every e-BRC (PDF and record) from DGFT across any period, split into DGFT's allowed windows automatically, each matched to its shipping bill.
  • e-BRC generation — match IRMs to shipping-bill / SOFTEX invoices (one e-BRC can group several IRMs, or one IRM split across several) and prepare bulk generation files to self-certify on DGFT.
  • IRM / ORM utilisation tracking — see which remittances are still unmatched, partly realised, or fully utilised.
  • EGM & shipping-bill status — verify from ICEGATE in bulk and surface the EGM-not-filed gaps that stall IGST refunds.
  • Refund readiness — one view of what is realised, evidenced and ready to claim versus what is stuck.
  • A document vault — shipping bills, invoices and e-BRCs kept together per export.

Why reconciliation matters

Reconciliation is not housekeeping — unrealised or unevidenced exports directly cost money and compliance standing:

  • GST refunds: exports are zero-rated and the GST is refundable, but realisation must be evidenced.
  • FEMA: proceeds must generally be realised within the RBI window (currently 9 months from export).
  • Duty drawback: non-realisation can trigger recovery of drawback already paid.
  • Incentives: RoDTEP / RoSCTL verify against realised value.
  • Bank / EDPMS closure: the e-BRC lets the bank close your shipping bill or SOFTEX.
The gap you can't see one bill at a time
A single missing IRM or an EGM that was never filed is invisible when you look at one shipping bill, but obvious when you pull the whole export history together. Reconciliation software exists to make that view automatic.

Frequently asked questions

What is e-BRC reconciliation software?

e-BRC reconciliation software helps Indian exporters track export proceeds, match the bank's reported inward remittances (IRMs) to the right shipping-bill or SOFTEX invoices, bulk-download and generate e-BRCs from DGFT, and flag exports that are unrealised or missing an EGM — so GST, IGST, drawback and RoDTEP refunds are not held up by paperwork gaps.

Do I still need software now that e-BRC is self-certified?

Self-certification (in force since November 2023) actually makes software more useful: the bank now only reports each inward remittance as an IRM, and you must match those IRMs to your shipping bills or SOFTEX invoices and self-certify the e-BRC yourself. Doing that mapping across hundreds of remittances by hand is slow and error-prone, which is what reconciliation software automates.

Which exporters is it for?

Goods exporters, IT/ITeS and software firms, SaaS companies and service exporters, e-commerce sellers, and the CAs and consultants who manage export compliance for them. If foreign payments come in against exports, the realisations have to be reconciled and evidenced with e-BRCs.
